Tabletop Legends — Terms & Conditions

These Terms & Conditions (“Terms”) govern membership and participation in Tabletop Legends (“the Club”, “we”, “us”). By joining, purchasing a membership, or attending a Club event, you agree to these Terms, our Club Constitution, Rules & Regulations, Gaming Guidelines, and Privacy Policy.

1) Membership & Eligibility

  • Eligibility: Adults 18+. Ages 16–17 may attend only when accompanied at all times by a responsible adult who is a current Club member.

  • Founding Membership: £10 per month (via subscription). We intend to reduce this fee as numbers grow.

  • Non-transferable: Memberships cannot be shared or transferred.

  • Right to refuse or revoke: We may decline or cancel membership for breach of these Terms or our conduct policies.

 

2) Payments, Renewals & Cancellations

  • Billing: Monthly in advance via website subscription using a Wix payment plan.

  • Missed sessions: No refunds or credits for non-attendance.

  • Cancellations by you: You may cancel any time before your next billing date; access continues until the end of the paid period.

  • Cancellations by us: If we must cancel a scheduled Club Day for reasons out of our control no refunds or credits will be offered.

 

3) Events & Scheduling

  • Regular meet-ups: Typically the last Saturday of the month, 11:00–19:00 (8 hours). Times and venues may change; check the website, WhatsApp Community, and blog for updates.

  • Game planning: We encourage use of Aftergame (and our channels) to organise tables in advance. Walk-ins are welcome subject to space.

 

4) Code of Conduct

  • Be welcoming: Treat everyone with respect. No harassment, hate speech, bullying, or discrimination.

  • Fair play: Follow game rules and GM instructions. Respect table time limits and sign-ups.

  • Content warnings: Flag mature or sensitive themes up front. We support safety tools (e.g., X-card/Lines & Veils).

  • Venue respect: Follow venue rules, including setup/clear-down, noise, and any restrictions posted on-site.

  • Zero tolerance: Breaches may result in removal from an event and/or suspension or cancellation of membership without refund.

 

 

5) Safeguarding (Ages 16–17)

  • Supervision: A 16–17-year-old must be accompanied at all times by a responsible adult who is a current Club member.

  • Contact details: We keep minimal data to manage this requirement (see Privacy Policy).

  • Unsuitable content: GMs must avoid adult-only content at mixed-age tables.

 

6) Health, Safety & Personal Property

  • Your responsibility: You are responsible for your own health and belongings.

  • Fitness & accessibility: Tell the organiser/GM about any access needs. We’ll make reasonable efforts within venue limits.

  • Prohibited items: Real weapons, illegal substances, alcohol and anything the Committee deems unsafe are not allowed.

  • Liability: To the fullest extent permitted by law, the Club and Committee are not liable for loss, theft, damage, or personal injury except where caused by our negligence.

 

7) Photos, Video & Publicity

  • Consent-led: We may take photos or short clips to promote the Club. We’ll prioritise consent and offer opt-out where feasible (e.g., no-photo lanyards/areas).

  • Withdrawal: You can withdraw consent for future use at any time (reasonable steps will be taken for existing materials already published).

 

8) Trading & Sales at Events

  • Personal sales: Only with prior Committee approval and in line with venue rules.

  • Third-party vendors: May be invited at the Committee’s discretion.

 

9) Venue Changes & Force Majeure

  • Changes: We may move, postpone, or modify events due to venue availability or circumstances beyond our control.

  • Force majeure: We are not responsible for delays or cancellations caused by events outside our reasonable control (e.g., severe weather, strikes, venue closure).

 

10) Complaints & Dispute Resolution

  • Talk to us: Raise issues with a Committee member on the day or via email.

  • Process: We’ll acknowledge, investigate, and aim to resolve promptly and fairly. Serious matters may trigger a formal review under the Constitution.

 

11) Committee Powers

  • Operational decisions: The Committee manages scheduling, venues, safety, and discipline.

  • Sanctions: Warnings, temporary suspension, or membership termination may be applied where appropriate.

 

12) Data Protection

  • We handle personal data in line with our Privacy Policy and UK data law. See the Privacy Policy for details on your rights and how to contact us.

 

13) Changes to These Terms

  • We may update these Terms. Material changes will be posted on the website and, where appropriate, shared via member channels. Continued membership after changes indicates acceptance.

 

14) Governing Law

  • These Terms are governed by the laws of England and Wales. Courts of England and Wales have exclusive jurisdiction.
