Tabletop Legends Club Constitution

1. Name

The club shall be known as Tabletop Legends, hereafter referred to as the Club.

2. Purpose

The purpose of the Club is to:

  • Promote and support tabletop gaming, including board games, role-playing games, collectable card games and related hobbies, within the Biggleswade and Bedfordshire area.

  • Provide a welcoming, inclusive space for players of all backgrounds and experience levels.

  • Encourage creativity, storytelling, and fair play.

  • Organise regular gaming sessions, events, and community activities.

 

3. Membership

 

3.1 Eligibility
Membership is open to anyone aged 18 or over with an interest in tabletop boardgames, collectable card games or role-playing games.

16 – 17 year olds may join if accompanied by a responsible adult who is also a club member and is in attendance at the club at all times the under 18 is present.

 

3.2 Joining
New members may join by subscribing to the pricing plan on the website www.tabletoplegends.org in advance of attending a session. We don’t take sign-ups or payments on the day—our committee are there to enjoy the games, not do paperwork.

Membership fees will be reviewed as club numbers increase by the club the Committee.

3.3 Cancelling Membership

  • You may cancel your membership at anytime from the members area of the website.

  • If you cancel close to your renewal, the payment may still process; there are no reimbursements for processed charges.

  • After cancelling, you may still attend the next club session already covered by your payment.

  • Cancelling and restarting your subscription to intentionally avoid paying for days you cannot attend is not in keeping with the spirit of the club. Doing so will result in your membership being reviewed by the committee and may lead to cancellation.

  • If you need to pause membership for a period of time please speak to a member of the committee who will assist.
     

3.4 Conduct
All members must:

  • Treat others with respect and courtesy.

  • Uphold the spirit of the Club: fairness, inclusivity, and fun.

  • Refrain from disruptive or discriminatory behaviour.
    The Committee reserves the right to review and, if necessary, revoke membership in cases of serious misconduct.

4. Committee

4.1 Structure
The Club shall be managed by a Committee consisting of:

  • Chairperson – oversees Club direction and meetings.

  • Secretary – manages communications and records.

  • Treasurer – oversees finances and venue payments.

 

4.2 Elections
Committee members are elected annually at the Annual General Meeting (AGM).
Nominations can be submitted in advance or during the AGM.

 

4.3 Meetings
Committee meetings shall be held as required and recorded by the Secretary.

 

5. Finance

  • The Club shall maintain a dedicated bank account.

  • All income and expenditure will be recorded and reported at the AGM.

  • Funds are to be used solely for Club activities, events, and operating costs.

  • In the event of dissolution, remaining funds will be donated to a local charity or community cause agreed upon by members.

 

6. Meetings

6.1 Annual General Meeting (AGM)
The AGM will be held once per year to:

  • Review Club activities and finances.

  • Elect Committee members.

  • Discuss any proposals or amendments to the Constitution.

 

6.2 Extraordinary Meetings
Extraordinary meetings can be called by the Committee or by written request from at least five members.

 

7. Amendments

Amendments to this Constitution must be proposed in writing and approved by a two-thirds majority vote at an AGM or extraordinary meeting.

 

8. Dissolution

If the Club ceases operation, its assets will be distributed as outlined in Section 5.
No member shall receive personal financial benefit from dissolution.

 

9. Safeguarding and Inclusion

The Club is committed to creating a safe environment for all members.
Harassment, discrimination, or intimidation will not be tolerated.
Members are encouraged to raise concerns confidentially with any Committee member.
